How do I approve a trip?

As an approval manager, you will be able to approve trips in a few ways:

Notification

  1. You will get a notification about the trip being sent to you for approval.
  2. Click the bell notification symbol which is on the top bar next to your organisation name.  From here you can click on the hyperlinked ‘New Approval Request’ and be taken to the trip.

Review the trip details scroll down to see the ‘‘Approve’ or ‘Reject’ buttons at the bottom of the screen. Click the action you want to take and a box will pop up. You will have to leave a comment confirming your decision, and if rejecting, explain why.

Click ‘Approve’/’Reject’ once again to complete the approval process.

  • If rejecting, the trip will be sent back to the user with your comments. They can edit and re-submit the trip if needed.
  • If approving, you will be taken to the payment page where you can complete the trip booking.

Dashboard

On your dashboard, on the right hand side there is a display with tabs. One of these tabs is ‘Trips Awaiting Approval’. Here you can see some of the trips awaiting approval.

On a trip you want to view, click the ‘View’ eye icon in the action column.

You will be taken to the trip viewing page, from which you can approve or reject the trip.

If you don’t see the desired trip on the dashboard preview, you can click ‘View All’ at the bottom of the table, and this will take you to a complete list of trips awaiting approval.

Navigation Menu - Awaiting Approval

With the navigation menu on the left of the page, you can navigate to Trips > Awaiting Approval. Here all trips awaiting approval are listed. This is the same page you reach via Dashboard > ‘Awaiting Approval’ > ‘View All’.

Find the trip you want to approve or reject, and with the ‘Action’ drop down, click ‘View’.

Here you can view and approve or reject the trip.

All Trips

You can also find these through viewing ‘All Trips’, via Dashboard or Trips > All Trips.

Trips awaiting approval are listed with status ‘Pending’. On the dashboard you can see these in the preview of all trips. Clicking ‘View All’ will take you to the page also reached in the last step by Navigation Menu > Trips > All Trips.

Here you can filter the trips to show only trips awaiting approval by selecting ‘Trip Status’ as ‘Pending’ and clicking search.

You can select the trip you want to approve and view it. You can approve or reject from here as described previously.
